Volunteer Terms and Conditions 

Welcome to Samsara Soul Festival, powered by Samsaraa WellTek Pvt. Ltd. (“we,” “our,” or “us”).

These Volunteer Terms & Conditions (“Terms”) govern your participation as a volunteer for the Samsara Soul Festival, scheduled to be held on 11th & 12th April 2026 at Hotel Lalit Ashok, Bangalore (“Festival”).

By registering as a volunteer or participating in any volunteer activities, you (“Volunteer”) acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree, please do not register or participate as a volunteer.


 

1. Volunteer Code of Conduct

By participating as a Volunteer, you agree to:

  • Act with integrity, respect, and professionalism toward all participants, attendees, staff, partners, and fellow volunteers.

  • Uphold the values of the Samsara Soul Festival, including inclusivity, mindfulness, safety, and wellbeing.

  • Follow all instructions, guidelines, schedules, and policies provided by the Festival organizers and assigned team leads.

  • Refrain from harassment, discrimination, abusive behavior, substance misuse, or any conduct that may harm individuals or damage the reputation of the Festival.

  • Maintain confidentiality of any sensitive, personal, or proprietary information encountered during your volunteer duties.

Failure to comply with this Code of Conduct may result in immediate removal from volunteer duties without entitlement to any benefits, recognition, or certificates.


 

2. Eligibility

  • Volunteering is open only to individuals 18 years of age or older at the time of the Festival.

  • Valid government-issued identification may be required for age and identity verification.


 

3. Time Commitment & Responsibilities

By volunteering, you understand and agree that:

  • You are expected to be punctual, reliable, and complete all assigned duties and shifts.

  • You are responsible for attending all agreed volunteer hours, briefings, and training sessions.

  • In the event of an emergency or unavoidable circumstance preventing attendance, you will inform the designated volunteer coordinator at the earliest possible time.

  • Samsaraa WellTek Pvt. Ltd. reserves the right to modify volunteer roles, responsibilities, or schedules based on operational requirements.


 

4. Consent to Photography & Filming

You hereby grant permission to Samsaraa WellTek Pvt. Ltd. and its authorized partners to:

  • Photograph, video record, or otherwise capture your image, voice, or likeness during the Festival.

  • Use such recordings for promotional, marketing, educational, archival, and social media purposes across all media platforms, without compensation.

  • Edit, reproduce, distribute, and publish such content globally and in perpetuity.

All such content shall remain the exclusive property of Samsaraa WellTek Pvt. Ltd.


 

5. Emergency Medical Authorization

You acknowledge and agree that:

  • In the event of an accident, injury, illness, or medical emergency during your volunteer service, you authorize Samsaraa WellTek Pvt. Ltd. and its representatives to obtain emergency medical treatment on your behalf.

  • Reasonable efforts will be made to contact your emergency contact, if provided.

  • You accept responsibility for any medical costs incurred and release the Festival organizers from liability arising from such treatment, except in cases of gross negligence.


 

6. Assumption of Risk & Liability Waiver

  • You understand that volunteering at a live event may involve physical activity, large crowds, weather exposure, and other inherent risks.

  • You voluntarily assume all such risks and agree to release, indemnify, and hold harmless Samsaraa WellTek Pvt. Ltd., its directors, employees, partners, and affiliates from any claims, damages, losses, or liabilities arising from your participation, except where prohibited by applicable law.


 

7. No Employment Relationship

  • You acknowledge that your role is strictly voluntary and does not create an employer–employee relationship.

  • You are not entitled to wages, benefits, insurance, or compensation beyond what is expressly stated by the Festival organizers.


 

8. Compliance with Indian & Karnataka Laws

The Festival and all volunteer activities shall comply with applicable laws and regulations in force in India and the State of Karnataka, including but not limited to:

  • Local municipal and venue regulations applicable to Hotel Lalit Ashok, Bangalore.

  • Karnataka Police Act and related public event permissions, safety, and crowd management guidelines.

  • Fire safety norms prescribed by the Karnataka State Fire and Emergency Services Department.

  • Public health, hygiene, and safety advisories issued by state or local authorities.

  • Noise control regulations under the Noise Pollution (Regulation and Control) Rules, 2000.

Volunteers agree to fully cooperate with Festival organizers, venue staff, security personnel, and local authorities to ensure a safe, lawful, and orderly event.


 

9. Governing Law

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or relating to these Terms shall be subject to the exclusive jurisdiction of the courts of Bangalore, Karnataka.


 

10. Acceptance

By submitting your volunteer registration or participating in any volunteer activities, you confirm that you have read, understood, and voluntarily agree to these Volunteer Terms & Conditions.
